Participant Code of Conduct & Policies
Section 4 of 4. Please read carefully and confirm your agreement below.

FTLO Code of Conduct and Conditions

Safety is #1: All sessions will run unless otherwise notified through email by FTLO coaches. Outdoor and indoor sessions with unfavourable and unsafe conditions will be postponed.

Training Sessions will count as "completed" if the session has run for a minimum of 30 minutes. Coaches design sessions for safety, fun, and optimal challenge. Please notify the FTLO coaches if you have certain medical conditions that require playing modifications.

Postponements

If FTLO deems facility conditions unsafe or unsuitable for training (including school closures), sessions will be postponed and rescheduled on the same weekday of a future week. Participants will be notified by email as soon as possible.

Postponed and Replacement of Sessions Window: Fall Programs may be extended by up to 2 additional weeks beyond the original schedule to accommodate postponed sessions. No make-up sessions will be offered beyond this extension.

FTLO aims to deliver the full number of scheduled sessions within this extended period. While we strive to meet that goal, participants acknowledge that postponements are possible, and that FTLO’s make-up window represents a reasonable accommodation.

Availability

Participants who cannot attend a session are encouraged to find substitutes to play in their place. They should alert FTLO coaches if they cannot find replacements. Please observe Intermediate Clinic Placement Expectations.

Facilities

FTLO Volleyball utilizes facilities owned by public institutions (eg. City of Richmond, City of Burnaby, School Districts). Participants shall respect the facilities’ policies and restrictions which are imposed by the property owner.

Payment Policy

This form is an application, not a confirmed spot. To ensure your registration is complete, a bank E-Transfer, cash payment, or app-specific payment must be made upon the program spot invitation, which FTLO will send by email after reviewing applications.

Medical or Training Concerns

Participants are encouraged to share any medical condition and/or training limitations to the FTLO coaches on the application form. (ie. Relevant past injuries, allergies, medication taken, concussion history, month/year of injuries)

Intermediate Clinic Placement Expectations: See the full placement criteria and refund/credit options under each Intermediate program in Step 3, Programs of Interest.

Cancellation, Refund & Suitability Policy

Participants can receive a 100% refund if cancellation is requested no later than 14 calendar days before the program start date.

If a cancellation request is made within 14 calendar days before the start date, participants will receive a 50% refund.

* Any refunds will require a $5.00 administrative banking charge.

No refund will be issued after the program start date. Participants can assign their registration to another adult as a replacement.

Refunds for Incomplete Programs: FTLO is committed to delivering the full number of sessions in each training program within the extended schedule. If, despite this buffer, more than one session remains incomplete by the end of the season, prorated refunds will be issued based on the number of sessions owed.

Participatory Suitability: FTLO reserves the right to decline and/or refund a participant’s registration payment if the participant is deemed not suitable for the playing environment. This will be communicated via a case-by-case matter.

General Agreements of Participation

Assumption of Risks: It is understood that, by accepting and applying for FTLO Volleyball programs, there are inherent physical risks associated with any sport, including indoor and outdoor volleyball. Entry into unauthorized or restricted areas is strictly prohibited. Participants shall exercise due care in the use of all district-owned, school, and public rental equipment.

Release of Claims & Indemnity Agreement: Each participant, on behalf of their legal representatives, heirs, executors, successors, must read and voluntarily agree to release, waive and forever discharge FTLO Volleyball Association and its coaches, partners, contractors and volunteers, from all claims, demands, damages, costs, expenses, whether in law or in equity, in respect of death, injury, loss, or damage to their person or property, arising by reason of their participation or attendance, due to any cause whatsoever, including negligence, breach of contract or duty of care.
