FTLO Code of Conduct and Conditions

• Safety is #1: All sessions will run unless otherwise notified through email by FTLO coaches. Outdoor sessions with unfavourable and unsafe grass conditions (extreme and/or disruptive rain and/or wind, natural disasters, etc) will be postponed.
• League & Training Sessions will count as "completed" if the session has run for a minimum of 30 minutes. Coaches design sessions for safety, fun, and optimal challenge. Please notify the FTLO coaches if you have certain medical conditions that require playing modifications.
• Unfavourable Weather Conditions (UWC): If FTLO deems the weather or field conditions unsafe or unsuitable for training, sessions will be postponed and rescheduled on the same weekday of a future week. Participants will be notified by email 1 to 1.5 hours prior to the scheduled session start time. Drop-in sessions and tournaments are excluded from this rescheduling policy.
  • Postponed Sessions Window: Outdoor Programs may be extended by up to 3 additional weeks beyond the original schedule to accommodate postponed sessions. No make-up sessions will be offered beyond this 3-week extension.
• Availability: Participants who cannot attend a session are encouraged to find substitutes. They should alert FTLO coaches if they cannot find replacements.
• Facilities: FTLO Volleyball utilizes facilities owned by public institutions (e.g. City of Richmond, City of Burnaby, Vancouver Park Boards). Participants shall respect the fields' policies and restrictions imposed by the property owner.

Weather Cancellation Refund Policy

• 100% refunded to the Captain if cancellation by FTLO occurs before the tournament date.
• 90% refunded on tournament date and if cancelled before the first pool play match begins.
• 75% refunded if cancelled after the first pool play round completes.
• No refunds will be issued after 4 pool play rounds have completed. Modified playoffs may still occur depending on forecast.
• Tournaments will continue unless notified by FTLO Tournament Coordinator.

Event-Specific Refund Policy

• 100% refunded if participants alert and cancel 14 calendar days before event start date.
• 50% refunded if alerted and cancelled within 14 days.

Payment Policy

• To ensure your registration is complete, a bank E-Transfer, cash payment, or app-specific payment must be made upon the program spot invitation.

Cancellation Policy

• 100% refund if cancellation requested 14+ calendar days before event. Within 14 days: 50% refund. All refunds require a $5.00 administrative banking charge.
• No refund will be issued after the league or training start date. Participants can assign their registration to another adult as a replacement.
• Participatory Suitability: FTLO reserves the right to decline and/or refund a participant's registration if deemed not suitable for the playing environment.

General Agreements of Participation

• Assumption of Risks: It is understood that, by accepting and registering for FTLO Volleyball programs, there are inherent physical risks associated with any sport, including indoor and outdoor volleyball. Participants may be struck by volleyballs during training and league play. FTLO programs are designed with safety in mind, but participants must freely accept that sprained ankles, impact to fingers, body, limbs, and sore muscle groups may result from participation in addition to other potential risks, dangers, and hazards causing possible injury, death, property damage or losses.
• Participant Conduct & Facility Compliance: Participants agree to respect all designated areas within and surrounding the school grounds used for FTLO activities. Entry into unauthorized or restricted areas is strictly prohibited. Negligent or reckless behavior toward equipment may result in financial responsibility for damages.
• Release of Claims & Indemnity Agreement: Each participant must voluntarily agree to release, waive and forever discharge FTLO Volleyball Association and its coaches, partners, contractors and volunteers from all claims, demands, damages, costs, and expenses in respect of death, injury, loss, or damage arising from their participation, including negligence or breach of duty of care.
• Photo & Video Release: By participating with FTLO Volleyball, participants grant permission to FTLO Volleyball to collect and use photography and videography of their physical inclusion in FTLO programs for promotional, educational, and administrative purposes. Participants may notify FTLO Volleyball staff in writing to modify this agreement.
• Inclusiveness & Rights of Dismissal: FTLO welcomes all adults from all backgrounds and has zero-tolerance for racial discrimination, harassment, or any unwelcomed and inappropriate behaviours. FTLO reserves the right to remove participants on a case-by-case basis.

By checking "I Agree" below, participants voluntarily acknowledge that they have read, understood, and will adhere to all FTLO Policies, Code of Conduct, Assumption of Risks, Release of Claims & Indemnity Agreement, and consent to the General Agreements of Participation.
